The Administrative Assistant III position is responsible for providing administrative support to the Executive Director of Field Services and supporting Regional Center staff statewide.

ABOUT YOU

You will play a vital role in the lives of our staff and consumers. You will display a positive, approachable, and professional demeanor and will serve in the day-to-day communication of the Office of Field Services. You will be able to work independently, as well as with a team.

BASIC QUALIFICATIONS
  • Must possess a high school diploma with related courses in business practices, typing, and filing.
  • Three (3) years of successful work experience in secretarial or related field.
  • Must have knowledge and experience in office practices, procedures, equipment and word processing.
  • Must possess excellent organizational skills, processing large volumes of documents and be detail oriented.
  • Must have experience in handling extremely confidential documents and information.
  • Must possess excellent written and oral communications.
  • Must have experience in Payroll and Accounting.
  • Proficient in MS Office Suite (Excel, PowerPoint, Word), Google G-Suite including Calendar, Sheets, Docs and Drive.

PREFERRED QUALIFICATIONS
  • Five (5) years of successful work experience in secretarial or related field.
  • Experience working with individuals who are Deaf, Blind or DeafBlind.

POSITION REQUIREMENTS
  • A minimum sign language proficiency level of SURVIVAL according to AIDB evaluation system (SLPI/SCPI); must be obtained within the first thirty-six (36) months of employment.
  • Must complete a Foundations of Visual Impairment e-learning course and Deafness 101 training within the first twelve (12) months of employment.
  • Provide support to Executive Director of Field Services and Regional Center staff by performing a variety of administrative tasks.
  • Develop and maintain a strong working relationship with secretarial staff of Regional Centers, E.H. Gentry, Human Resources, and the Business Office.
  • Prepare and process payroll, travel, purchase requisitions, letters, memos and other correspondence.
  • Gather and organize data for reporting purposes.
  • Prepare contracts and monitor available funds for outside and related service contract providers.
  • Process invoices for monthly services.
  • Facilitate a timely and efficient fiscal year closing and opening each year according to guidelines.
  • Receive and handle inquiries from personnel regarding purchasing, payroll, travel requests, travel reimbursements, etc.
  • Orient new staff members and contract personnel to AIDB policies, procedures, paperwork requirements and deadlines.
  • Disseminate information to staff from other AIDB departments and programs.
  • Establish and maintain a filing system.
  • Maintain all required documentation for CARF safety guidelines.
  • Assist with coordinating meetings, visits, tours and events.
  • Attend workshops and trainings as directed and travel to other AIDB campuses as needed.
  • Other duties as assigned by Executive Director of Field Services
  • Upon offer of employment, the applicant must submit to a fingerprint background check at an agency designated and paid by AIDB

This is an exempt position and is not subject to overtime provisions of the Fair Labor Standards Act.
