AIDB Regional Centers provides a continuum of services to individuals from infancy through adulthood. The Administrative Support Assistant position is responsible for providing administrative support to the Regional Center Director and staff.



This position will play a vital role in the lives of our staff and consumers. As a member of the Regional Center, this candidate must display a positive, approachable, and professional demeanor and serves in the day-to-day communication of AIDB Birmingham Regional Center's programs. This candidate will be able to work independently, as well as with a team.

PERFORMANCE RESPONSIBILITIES:
  • Provide support to the Regional Center staff by performing general clerical duties.
  • Maintain all records as required for audit and program evaluation to include any necessary reports.
  • Reproduce all records and materials as requested.
  • Maintain a complete inventory of all Regional Center equipment and supplies.
  • Order materials and supplies and maintain records of the orders.
  • Maintain files in a systematic order.
  • Assist in the development and dissemination of office correspondence and program publications.
  • Process American Sign Language payments.
  • Prepare payroll forms, travel forms, purchase requisitions, consumer count, letters, memos and other correspondence as requested by the Regional Director
  • Prepare contracts and monitor available funds for outside and related service contract providers.
  • Orient new staff members and contract personnel to AIDB policies, procedures, paperwork requirements and deadlines.
  • Process donations.
  • Process invoices for monthly fixed services.
  • Assist with coordinating meetings, visits, tours and events.
  • Attend workshops and trainings as directed.
  • Other duties as assigned by the Regional Director.

Basic Qualifications:
  • Must possess a high school diploma or GED with work experience in a secretarial or related field.
  • Proficient in MS Office Suite (Excel, PowerPoint, Word), Google G-Suite including Calendar, Sheets, Docs and Drive.
  • Must have knowledge of computers and the use of spreadsheets, word processing, database management, and other business applications.
  • Must be self-motivated and possess ability to exercise sound judgment with minimal supervision.
  • Must possess excellent organizational skills, processing large volumes of documents and be detail oriented.
  • Must possess good communication skills.
  • Must be able to deal with the public in a pleasant and effective manner while maintaining a positive relationship with supervisors and co-workers.
  • A sign language proficiency level of SURVIVAL according to the AIDB evaluation system must be obtained within the first thirty-six (36) months of employment.
  • Upon offer of employment, the applicant must submit to a fingerprint background check at an agency designated and paid by AIDB.



Preferred Qualifications:

  • Five (5) years of successful work experience in secretarial or related field.
  • One (1) year or more experience working with individuals with sensory impairments.

SALARY: $15.48- $18.29 C5 Rank 35

260 days

Direct deposit required.

This is an exempt position and is not subject to overtime provisions of the Fair Labor Standards Act.
