As Administrative Assistant III to the Principal for Alabama School for the Deaf (ASD), you will be responsible for the day to day operations of the principal's office. ASD is committed to meet our students where they are. The right candidate for this job will have a passion for working with students and colleagues to ensure all students receive a world class education.

ABOUT YOU

You will play a vital role in the lives of our students and be a part of the miracles that happen every day at AIDB and ASD. This will be accomplished by demonstrating flexibility, positive attitude, and professional maturity.



BASIC QUALIFICATIONS:
  • Must possess a high school diploma.
  • All applicants must provide documentation of sign language proficiency or take a sign language proficiency evaluation (SCPI available through AIDB).
  • Must possess a minimum sign language proficiency level of SURVIVAL PLUS upon employment. INTERMEDIATE must be obtained within 24 months of employment. INTERMEDIATE PLUS must be obtained within 36 months of employment.
  • Minimum of five years of successful work experience in clerical and basic budget work.
  • Must possess skills in MS Office Suite (Excel, PowerPoint, Word, etc.) and Google Suite (Google Doc, Google Sheets, Google Calendar, etc.)

Must be mature, self-motivated and possess ability to exercise sound judgment, anticipate problems and take initiative with minimal supervision.
  • Upon offer of employment, the applicant must submit to a fingerprint background check at an agency designated and paid by AIDB



PREFERRED QUALIFICATIONS:
  • Experience working with deaf and hard of hearing individuals and possessing the ability to communicate through sign language.
  • A sign language proficiency evaluation of INTERMEDIATE PLUS on the first day of employment.

POSITION REQUIREMENTS:
  • Must sign at all times on ASD campus and ASD sponsored events.
  • Maintain and manage day to day operations in the Principal's Office.
  • Provide administrative support to the Principal.
  • Welcome visitors for appointments with the Principal, as well as unexpected visits. Make sure all visitors receive a visitor's pass and parking pass.
  • Maintain calendar and itinerary for Principal, including establishing appointments and meetings.
  • Establish and maintain computer and office filing system to ensure timely retrieval of information.
  • Maintain, create, report, and distribute records according to established ASD and AIDB procedures.
  • Compile and forward ASD information for inclusion in AIDB and other Calendars.
  • Receive, sort, distribute and/or route incoming and outgoing mail.
  • Coordinate the compilation of ASD Department payroll records in an accurate and timely manner and coordinate submission to the Payroll Office.
  • Coordinate the completion of forms including requests for travel and travel reimbursement, requests for professional services, check requests, purchase orders, and other forms as needed.
  • Respond to ASD information requests in a timely manner.
  • Book in-state and out-of-state travel for principal and principal's staff as requested.
  • Maintain a professional image at all times, including maintaining a well-kept and clean office area.
  • Attend meetings, take notes and distribute notes and letters as needed.
  • Maintain staff organizational chart.
  • Coordinate the preparation and distribution of information for various annual events.
  • Assist with scheduling, set-up, registration, food requests, and other preparations for meetings and events, including bi-annual in-services, Summer Camps, and other events as needed.
  • Assist with approval, travel, accommodations and other details as needed for guests including graduation speaker, presenters, and other professionals scheduled for events on campus.
  • Maintain staff files including documentation of personnel actions, CEUs, PLUs, evaluations, teaching certificates, and other information as needed.
  • Assist with annual staff events including Convocation, Graduation, ASD Retiree Tea and AIDB Retiree Luncheon.
  • Maintain files on general office information including: fire drills, donations, training opportunities, correspondence and other information as needed.
  • Be knowledgeable of and coordinate duties performed by other secretaries on campus and assist with support as needed. (Serve as campus lead secretary.)
  • Prepare and present information to other secretaries on campus relating to clerical and other duties.
  • Screen, monitor and coordinate entering of work orders in Maintenance and IT work order systems.
  • Maintain various unit databases to include personnel actions, travel reimbursements and other data as needed.
  • Maintain and secure assigned Institute credit cards utilizing a signature-required check-out system; ensure payment authorizations of approved credit card purchases are processed according to established procedures.
  • Ensure year-end procedures as established by the CFO, such as submission of final requisitions and receivers.
  • Support all ASD programs by participating in scheduled activities.
  • Must demonstrate pleasant telephone and interpersonal communication skills.
  • Must be able to work independently on difficult and complex work assignments.
  • Must demonstrate a high level of accuracy of work, be diligent in details, meet established deadlines and be flexible in dealing with unexpected interruptions.
  • Must possess excellent knowledge of business English, punctuation, grammar, and be able to compose correspondence.
  • Must have a past work record which demonstrates a high level of integrity, and confidentiality.
  • Must be able to deal with the public in a pleasant but effective manner and to maintain effective working relationship with other employees.
  • Perform other duties, including clerical support for other staff, as assigned by the principal.

SALARY: $18.78 - $22.68 per hour Scale S5 Rank 41

Direct deposit is required.

Monthly Payroll

This is a non-exempt position and is subject to overtime provisions of the Fair Labor Standards Act.
